Privacy Policy

1. Who We Are

RailTrailWx (railtrailwx.com) is owned and operated by Entrain Weather, LLC, a Pennsylvania limited liability company. This Privacy Policy explains how we collect, use, and protect your information when you use our service. By using RailTrailWx, you agree to the terms of this Privacy Policy.

2. Information We Collect

Personal data

When you create an account, we collect your email address via Clerk (our authentication provider). We store your account information in our database, including tier status, custom comfort scoring profiles, favorite trails, Logbook visits you record (trail, date, and activity), saved Plan preferences, and your free-trail selection.

Server and usage data

Our hosting infrastructure (Vercel) automatically collects standard web server data when you use the service. This may include:

  • IP address
  • Browser type and version
  • Device type and operating system
  • Pages visited, session duration, and timestamps
  • Referral links

This data is retained per Vercel's standard log retention policy and is used solely for security, performance monitoring, and debugging. It is not used for advertising or sold to third parties.

Optional location data

If you choose to show your location on the map, your browser or device may ask for permission to share your current location with RailTrailWx. That location is used in your browser to display your position on the interactive map and is never stored.

Separately, if you set a location in your Plan preferences (for example, "within 50 miles of my location"), that starting point, either your shared location or a place you searched for, is saved with your Plan preferences so the feature works on your next visit: in your account if you are signed in, on your own device if you are not. You can remove it at any time by clearing the location in the Plan tab, and it is deleted with your account. We do not use location for advertising or sell it to third parties. You can deny or revoke location permission through your browser or device settings.

3. How We Use Your Data

  • Authenticate and manage your account
  • Store and apply your custom comfort scoring profiles to generate personalized forecasts
  • Process subscription payments
  • Send product updates if you opt in
  • Monitor service performance, security, and reliability
  • Display your location on the map when you explicitly request it

We do not sell, share, or use your personal data for advertising purposes.

4. Your Data on RailTrailWx

Your comfort profiles, favorite trails, Logbook visits, and saved Plan preferences are personal data. They are stored in our database and visible only to you and our infrastructure providers. All of them are deleted automatically when your account is deleted.

5. Third-Party Services

RailTrailWx relies on the following third-party services, each of which may process some of your data as described:

  • Clerk: handles authentication and stores your email and session data. See clerk.com/privacy.
  • Stripe: processes subscription payments. Entrain Weather, LLC does not store your payment card details; they are handled directly by Stripe. See stripe.com/privacy.
  • Anthropic: generates the AI-written trail Dispatches described in Section 4 of the Terms of Service. We send trail, activity, and forecast data for generation. We do not send your name, email address, account identifiers, or the names you give your comfort profiles. See anthropic.com/legal/privacy.
  • Vercel: hosts the application and may retain standard server logs (IP, user agent, timestamps) per their data retention policy. See vercel.com/legal/privacy-policy.
  • Photon (komoot): powers the "near a place" search in the Plan tab and Trail Explorer. When you search for a place, your search text is sent from your browser to Photon's public geocoding service, which sees your IP address. We do not send your name, email address, or account identifiers. See komoot.com/privacy.
  • Map tile providers: the interactive maps load their background tiles directly in your browser from CARTO, OpenStreetMap (including CyclOSM), OpenTopoMap, and Esri/ArcGIS, so the provider of the basemap you are viewing sees your IP address and which map areas you load.   • Cloud database and infrastructure providers: store account and profile data in encrypted, access-controlled environments.

All third-party services are required to comply with applicable data protection regulations and process only the data necessary for their function.

6. Cookies

We use cookies only for authentication session management via Clerk. No advertising, tracking, or third-party analytics cookies are used. We do not use session recording tools or behavioral tracking services.

We also use your browser's local storage for on-device conveniences: your anonymous Logbook, your Plan preferences before you sign in, and map display settings. That data stays on your device unless you sign in, when your Logbook and Plan preferences are merged into your account.

7. Data Retention

Your account data is retained while your account is active. You may request deletion at any time by emailing support@railtrailwx.com. Upon deletion, your account data, comfort profiles, favorite trails, Logbook visits, and Plan preferences are removed from our database. Residual data in backups may persist for a limited period before being purged.

Dispatches, the AI-written forecast summaries described in Section 4 of the Terms of Service, are kept together with the forecast values used to produce them so that we can review quality, investigate problems, and reproduce what was shown. A Dispatch you requested is linked to your account for as long as that account exists. If you delete your account, that link is removed automatically and the Dispatch text remains only in de-identified form.

8. Children's Privacy

RailTrailWx is not directed at children under the age of 13. We do not knowingly collect personal data from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at support@railtrailwx.com and we will promptly delete that information.

9. Changes to This Policy

Entrain Weather, LLC may update this Privacy Policy from time to time. When we do, the effective date at the top of this page will be revised. For material changes, we will provide notice via the updates page or by email. Your continued use of RailTrailWx after changes take effect constitutes acceptance of the revised Privacy Policy.

10. Governing Law

This Privacy Policy is governed by the laws of the Commonwealth of Pennsylvania, without regard to its conflict of law provisions.
